JOB DESCRIPTION

Title:  Executive Director – Arts Foundation of Cape Cod (AFCC)

REPORTS TO:  Board of the Directors (BOD)

Scope:  The Executive Director (ED) is the AFCC’s chief administrative officer and manager and serves at the pleasure of the Board of Directors (BOD).  The ED reports to and works collaboratively with the BOD and is responsible for articulation and implementation of the BOD’s policies; assessment of the community’s arts needs and interests; financial management and fundraising; short-term and long-range planning; grant writing; creation, development and management of programs and services; public relations; arts advocacy; management and motivation of staff (paid and non-paid); and general management of the AFCC office.

The ED is an ex-officio, non-voting member of all AFCC committees and the BOD.  The ED shall serve as advisor to the officers and committee chairs, guiding the development of the AFCC’s overall program of work and shall assemble information, data, minutes, agenda, and special reports as directed.    The ED will be available to report at each meeting of the BOD. 

DUTIES:

Committees/Program of Work: The ED shall be available to support and collaborate with all committees on their areas of work.  The ED will assist the President of the board or responsible officers in selecting qualified personnel for committee work, assist in the direct processing of appointments to committees, and direct and organize specific projects with volunteer leadership.   The ED shall supervise the preparation of committee notices, minutes, reports and other material as needed and shall motivate and inspire volunteers to perform assigned functions. 

The ED shall attend all board meetings and AFCC functions, and shall meet with the chairs of all committees regularly.  The ED shall be available to staff, officers and committee chairs to assist various projects.

With the assistance of the committee chairs, officers and staff, the ED shall be responsible for directing and implementing the program of work in accordance with the policies and direction of the BOD. 

Budget & Finance: With the cooperation of the finance committee, the ED shall be responsible for the preparation of an operating budget, relating budget to program goals, subject to approval of the BOD.  The ED shall also be responsible for all expenditures within approved budget allocations.

The ED shall be responsible for the preparation of monthly financial statements of income and expenses for the BOD's review and ensure financial records are audited annually.  The ED shall report to the BOD any requests for significant expenditures not budgeted and seek maximum staff efficiency in all financial matters.  Within budget allocation, the ED is responsible for the purchase, storage and use of all AFCC supplies and equipment.  The ED has authority to enter the organization into binding contracts and agreements with the approval of the BOD.

Resource Development: The ED is the chief development officer of the AFCC.  The ED develops private and public sector fundraising initiatives; writes grant proposals and prepares solicitation materials; provides significant support to special events including but not restricted to Pops by the Sea; produces all required accounting and reporting documents; develops and maintains all necessary grant records; maintains strong relationships with current and prospective donors; and establishes and updates a member/donor database.   

Communication:  The ED is the spokesperson for the AFCC and is responsible for all communication to the general public and media.  The ED shall supervise regular communication methods such as the website, newsletters, bulletins, and press releases to the members and the community at large.

As official spokesperson for the AFCC, the ED shall oversee the preparation of news articles or material, as appropriate.  The ED shall oversee the maintenance of publicity files for use in preparing such articles and maintain files of all clippings and other relevant communication materials.

Community Relations:  The ED shall maintain close ties with other groups in the region and advise on developments affecting the arts and culture community.  The ED shall keep all appropriate committees and AFCC constituents informed of any activities that may affect the arts and culture community.

As official spokesperson, the ED shall represent the AFCC at various meetings.  The ED shall fulfill speaking engagements of importance to the AFCC.  The ED establishes and sustains financial alliances between the AFCC and its business and public sector funding partners.

Staff:  The ED is responsible for the employment and management of all staff, the assignment of their duties, the supervision of the work, and the establishment, within the framework of the approved budget, of the terms of their employment.  As indicated by the program of work, the ED creates the organizational framework that is needed to implement the work.  The ED must create working conditions that are conducive to maximum performance and employee morale.

Long-range planning:   Under the direction of the BOD, the ED is responsible for maintaining continuity and consistency in programming.  Based on community needs, the ED is expected to anticipate emerging and long-range challenges and opportunities and recommend sustainable AFCC and community programs to meet such problems.

Miscellaneous:  Other duties as assigned by the BOD.

Internships Available

Come and be a part of the exciting creative community on Cape Cod.  The internship program at the Arts Foundation of Cape Cod provides an unequaled introduction into the varied and exciting work of a regional arts agency that serves artists and arts lovers, cultural organizations and those who support them.

The Arts Foundation of Cape Cod hosts a trimester internship program for qualified college students and recent graduates. The internships are unpaid, but provide a thorough and valuable introduction into a multidisciplinary art world and to the workings of an independent, established, regional arts non-profit organization. Applications are accepted year-round.

Design and Media Services Intern


Put your skills to work designing post cards, posters, and web-based newsletters. Maintain our list of press contacts and media outlets. Help promote the Arts Foundation of Cape Cod through print and electronic media.

Administration and Development Intern

Learn about the daily operations of a regional arts agency - working with members, the media, sponsors, and the public. Projects will vary widely, from the planning and execution of special events, exhibits, and musical performances, to the maintenance of our databases of artists and arts educators.
